Two months until Workday: What you need to know about training, cutover and support

Workday launches on July 1. 

After two years of listening, designing and testing, it is almost time to launch Workday at Clemson. This modernized HR and Finance system will bring currently disjointed processes and systems into one place, streamlining administrative tasks so faculty and staff can focus on the work that matters most. Designed with feedback from faculty and staff across the University, Workday is a system made for Clemson, by Clemson. 

As we approach go-live, this message outlines the most important things you need to know right now.

What to know right now:
  • All faculty and staff will be enrolled in Workday Basics training tomorrow.
  • Some employees will be assigned additional role-based training in late May through June.
  • System and transaction pauses will begin in the next several weeks as part of cutover.

Training

Beginning tomorrow, all faculty and staff will be enrolled in a self-paced Workday Basics course through Tiger Training. All Workday training will be completed in Tiger Training to ensure a familiar experience. The University will transition to Workday Learning in the fall.

About Workday Basics:
  • Provides an introduction to Workday and the core functions you will need to know to navigate the system
  • Broken into several sections
  • Takes approximately 30 minutes or less to complete
Additional trainings:
  • Some employees will be assigned additional required training based on their roles and access in the system.
  • Workday Basics should be completed as a prerequisite before completing additional job-related training.
  • Assignments will be communicated in late May through early June by the Workday@Clemson training team.

Specialized training approaches are being developed for units with unique needs, including Cooperative Extension, Experiment Station, Regulatory Services, Livestock Poultry Health, Public Safety and Facilities. Employees in these areas will receive additional communication.

Cutover

To transition from our current systems to Workday, the University is entering a period called “cutover.” This is a standard step in large system implementations and ensures our data is accurately transferred between systems. During this time, certain systems and transactions will be limited or temporarily paused.

What to expect:
  • System and transaction limitations will begin in early to mid-May.
  • Additional functions will pause in phases through June.
  • Normal activity will resume in Workday on July 1.

High-level deadlines:

These are a few of the most broadly impactful deadlines. Additional dates and details may apply to your role or unit, so please review the full cutover schedule. 

  • May 15 is the last day to process most payroll-impacting HR transactions (compensation changes, student hires, position changes, volunteer requests).
  • After May 29:
    • Creation or modification of suppliers, customers, sponsors and awards must pause until July 1.
    • Personal information changes will pause until July 1.
    • Leave requests for dates after July 1 should be submitted once Workday is live.
  • June 12 is the last day to submit requisitions, purchase orders, supplier invoices and customer invoices until July 1.
  • June 25 is the last day to use p-cards for purchases until July 1.

Frequent reminders will be shared with impacted groups and through Our Clemson as these deadlines approach.

How to get help

Implementing Workday for more than 6,000 employees is a significant effort and a meaningful change. Hundreds of Clemson team members have spent years preparing this system and building a structure to support colleagues who will use it.
