Dear colleagues,
March 23 marks 100 days until we launch Workday across Clemson University. This modernized system will bring our core HR and Finance functions into one system – streamlining processes and tasks for faculty and staff across the University and our related organizations.
We know that transitioning to a new HR and Finance system is a big change. It will touch all corners of Clemson, from facilities and procurement to grants and employee benefits. To date, the design, creation and testing of this system has involved more than 300 individuals from across Clemson. At the center of this work has been one goal: building a system made for Clemson, by Clemson.
As we approach go-live in July, we hope you are excited for this business transformation. At the same time, we recognize this change may lead to apprehension or questions from our employees on main campus and across the state.
Our commitment to you is this:
- We will share key details and guidance, when it is actionable
- We will connect you to relevant resources, specific to your role
- We’ll provide ongoing support before, during and after go-live
In the coming weeks and months, you’ll start to hear more about several key parts of our transition to Workday:
- Cutover: Cutover is the period when we transition from our current legacy systems to Workday. This detailed plan is critical to ensuring all data and business processes are carefully and correctly loaded and configured in Workday. During this time, HR and finance activities will be limited or stopped for specific time periods to minimize data loss or errors in the transition. Key dates will be announced in the coming weeks.
- Training: All employees will receive training specific to how their position will need to interact with the Workday system. Training will include a variety of delivery methods, including instructor-led trainings (both in-person and virtual), self-paced training courses, quick reference guides, and videos.
- Process Changes: With Workday’s modernized functions, some business processes and practices may change. Workday@Clemson teams have worked to carefully document these changes, which will be shared with the University, related organizations and specific users as we get closer to launch.
- Support: We know you may have specific questions or need additional support as we transition to Workday. We’re building a tiered support structure that will include local, division and college-level support, along with a higher, more specialized support structure for more detailed questions. These “Workday Resource Groups” will be your key connection points to all things Workday.
We appreciate your partnership, support, and curiosity as we embark on this journey. More than just an upgrade, Workday is a transformation and an opportunity – and the first step in our University’s impactful business transformation efforts. We look forward to sharing this system with you – one that was made for Clemson, by Clemson.
