This article summarizes key steps supervisors and employees should take pertaining to tracking time worked both before and after the transition.

Timekeeping guidance for employees

Employees required to track their time will do so in Kronos using the Kronos website or mobile app through June 30.

Edits to timecards will be restricted at the end of each week to facilitate data conversion to Workday. Employees or supervisors who need to make changes to a locked timecard should email kronos@clemson.edu.

Employees will transition to tracking time in Workday beginning on July 1.

Supervisors: Approve timecards and requested leave weekly 

From June 16 to June 26, supervisors should approve time and leave in Kronos weekly. Supervisors can select “Current Schedule Period” when reviewing timecards to see the current week for approval.

Beginning with the week of June 15 – 20, supervisors must approve by the end of the workweek.

Once this approval occurs, supervisors will not be able to make edits to time entries. Supervisors should email kronos@clemson.edu if they must make an edit to a timecard once it has been approved.

After June 26 at 4:30 p.m., supervisors who need to make edits to employee timecards should wait until Workday launches on July 1. Timecard data from June 16 through June 30 will be loaded into Workday for edits and approval.

Any requested leave scheduled for July 1 or later that is not approved in Kronos by June 26 will be canceled and must be resubmitted in Workday.

For supervisors of student employees

Student employees who track time in Kronos

The guidance included above also applies to approvals and edits to timecards for student employees.

UPIC interns 

To ensure timely payment of Summer UPIC interns, interns must return timesheets for work performed between June 16 and June 30 by students by July 1. This will allow that time to be loaded to Workday for timely payroll processing.

If student interns return timesheets after this date, it may result in a delay in payroll processing and payment.

Timecard approvals in Workday

Currently, hourly employees are paid for each pay period they work, even if their time entries are not fully approved by their supervisor by the pay period deadline.

In Workday, supervisors must approve all time submitted by employees before the pay period deadline (1st and 16th of each month) for an employee to be paid in a timely manner.

If supervisors are on leave or unable to approve time for any reason, they are still responsible for this task. They must assign a delegate to review and approve time entries in their absence.

University supervisors will soon be enrolled in the Workday for Managers training course, which includes information about the delegation process. A quick reference guide related to time tracking will also be available through the Workday Training Library.
